An exciting opportunity has arisen for an Executive Assistant at a leading finance company. As an Office Manager, you will be responsible for the overall performance of the CEO's office through basic and intermediate clerical duties including payroll as indicated by the company's overall strategy.

Requirements
  • Execute various administrative tasks including travel arrangements (Domestic and International – including visa applications, required clearances, accommodation and itinerary planning) for the Executive
  • Assisting Executive with any personal errands as requested
  • Utilizing organizational skills to manage schedules and appointments
  • Answer phone calls, text and WhatsApp messages
  • Attend meetings to record minutes and distribute them in a timeous manner
  • Prepare quotations, invoices and receipts for clients
  • Prepare financial statements, reports, memorandums, and other documents
  • Maintaining financial records intact and performing basic bookkeeping functions

  • Assisting in formulating and successfully implementing company policy and strategy
  • Directing strategy towards the profitable growth and operation of the company
  • Ensures that the monthly management and staff meetings are held and that the action items arising from these meetings are closed out timeously
  • Responsible for the purchasing and management of office supplies, equipment and inventory while complying with requirements and budget of the company
  • Ensures that all operations are in full compliance of the law and the regulatory (RBZ)
  • Closely monitoring the operating and financial results against planned budget
  • Handling basic bookkeeping tasks
  • Filing and retrieving corporate records, documents and reports
  • Payroll/HR representative
