This role exists to manage the department that centralises the processing and coordination element of all orders and administration requirements for the day to day running of the company. The role acts as the important link between the accounts department and the rest of the company and expected to hold a high standard of accountability and compliance. All administrative tasks are held under this umbrella and the department’s ultimate goal is to serve the rest of the company.

Requirements
  • Serving as a conduit between the accounts department and other departments to ensure that all administrative needs are met, and requisitions are processed and reported on. Ensuring that the company is sufficiently equipped to operate efficiently.
  • Enforcement of company SOPs to ensure that the department is operating efficiently and economically.
  • Oversight of the Administration Supervisor and ensuring that all tasks are completed efficiently and timeously. Holding the team accountable for all tasks and reporting requirements.
  • Overseeing orders submitted to the buyer and holding colleagues accountable for submitting timeous and realistic requests allowing for reasonable timelines to ensure economical purchases are made in accordance with the company’s ordering cycle policies.
  • Negotiating, securing, and nurturing supplier contracts to the companies benefit where possible.
  • Ensuring that interactions between administration and other departments are kept productive and that the company’s interests are protected at all times.
  • Oversight of other branch administrators to ensure cohesion across the group.
  • Keeping cash team and financial manager up to date on expected cash flow requirements to assist with planning.
  • Oversight of Group management Personal Assistants and serving as back up in the absence of a personal assistant. This includes receiving direct instructions from group management.
  • Willingness and ability to stand in for subordinates in their absence to ensure that the department is achieving its goals.
  • Tracking and execution of all ad-hock administration tasks to ensure that they are completed timeously, and results reported to management. This includes insurance claims, licencing requirements, etc
  • Maintenance of all prepaid accounts to ensure correct disbursement and reconciliation
  • Tracking of requisitions and reporting on cash flow implications and trend analysis
  • Tracking loss book purchases and ensuring accurate reporting and follow up with other departments.
  • Submitting daily, weekly and monthly reports to superiors as required.
  • Oversight of the warehouse to ensure that all procedures are followed. Oversight of warehouse stock takes and reporting.
